Personnel Administration

Personnel Administration manages activities associated with people that include:
         Actions take place on a person, The reason is for an action,  Appointments an employees holds,   Historical activities have taken place,  Leaves have taken place and Changes on a person in regards to pay, work schedule and benefits.

    Infotype Definition:
     Infotype is logical sequence of Data Fields. Recording employee data for administrative, time recording, and payroll purposes is of primary importance for master data administration in HR. In the SAP System, the information units used to enter master data are called infotype.

Some of the important infotypes:
    0000 – Actions                             0007 – Planned Working Time
    0001 – Organizational Assignment 0008 – Basic Pay
    0002 – Personal Data                    0009 – Bank Details
    0003 – Payroll Status                    0021 – Family Data
    0004 – Challenge                          0105 - Communication
    0006 – Address                            0185 – Personnel ID’s

Actions
     Personnel Actions are related to the employee activities within in the employee lifecycle. Generally Recording employee career events in the system. The Infotypes are to be maintained for an HR actions are grouped together. Once an infotype is saved, the next relevant infotype is displayed.

Examples of Personnel Actions
     Hiring, Confirmation, Transfer, Promotion, Demotion, Separation….etc.,

 Infotype Menu
     Many infotype menus are set up to be dependent on the user group. The user groups correspond to the country groupings. We
     define infotype menu’s for displaying and maintaining HR Master     
     Data.

Examples of Infotype Menu’s
       Basic Data
       Payroll Data
       Time Data
       Benefits Data….etc.,

Infotype Screen Headers.
    The screen header consists of the first three lines displayed on single and list screens. In the standard delivered SAP HR system, a screen header is already assigned to some of infotypes. You can change the screen header, but you are limited to three lines and 84 columns. 

SAP Standard Screen Headers
       00 – PA20, PA30, PA40, PA51, PA61
       10 – Infotype 0000
       03 – Infotype 0001
       01 – Infotype 0002
       04 – Time Management Infotypes
       02 – All other Infotypes

Infotype Screen Modifications
     Different entry screens are delivered for some infotypes. Depending the transaction class ("A" for employee, "B" for applicant) or the country grouping, a different screen can be used. In addition to this, you can also change the characteristics of the individual screen fields: For example, you can define fields as required-entry fields or suppress any fields that are not required. You may want to suppress field attributes in accordance with certain employee control data.

Examples of screen modification
       Hiding unwanted fields in the infotype
       Making Required fields to optional
       Making Optional fields to required..etc.,

Dynamic Actions
     Dynamic actions are really useful in SAP and allow you to automate certain activities between different infotypes. For example, when one infotype is created, another unrelated infotype can be automatically created at the same time and values can be pre-populated from another infotype.

Tasks of the Dynamic Action
       On saving of one infotype calling another infotype
       Defaulting Values in the Infotype Fields
       Maintaining Infotype in the background

Additional Actions
    Additional actions allow us to store more than one action for the employee on the same day. Infotype 0302 Additional Actions allows you to automatically log all of the personnel action types that are performed for an employee on a specific date. It allows you to perform and document several personnel action types for an employee in the R/3 System on the same day.

Examples of Additional Actions
       Hiring and Organization Reassignment on same day.
       Hiring and Transfer on same day
       Transfer and Promotion on same day….etc.,

Configuration steps of Personnel Administration 

The SAP HCM – PA implementation is divided into five steps
      1.       Configuration of Company code
      2.       Configuration of Enterprise structure  
      3.       Configuration of  personnel action or  Configuration of  PA40
      4.       Configuration of  PA30 Transaction or Configuration of  HR master data 
      5.       Configuration of  Pay scale structure
